Official HubSpot partner
HubSpot consulting and implementation
Qualtura sets up, migrates, integrates and supports HubSpot for growing businesses and enterprises, so sales, marketing and service teams work from one customer record.
The short answer
What is HubSpot, and who is it for?
HubSpot is a customer platform that combines a CRM with marketing automation, sales tools, customer service, a content management system and AI. Every team works from the same record of each contact, company and deal.
It is a strong fit for B2B service firms, professional bodies, education providers and growing SMEs that want one shared view of each customer without the admin load of a heavily customised CRM. If your process needs deep custom code or complex quoting rules, we will tell you, because we implement Salesforce too.

Why Qualtura
Why teams choose Qualtura for HubSpot
- Official HubSpot partner. Qualtura is listed as a HubSpot partner, and our consultants and developers hold HubSpot and other platform certifications.
- 15+ years of platform experience across HubSpot, Salesforce, Optimizely, Sitecore and Adobe.
- Certified project leadership. Projects are led by a PMP and CITPM certified project director.
- Public sector and regulated industry experience, including government procurement and financial services.
- Platform-neutral advice. We also implement Salesforce, so we will tell you if HubSpot is not the right fit.
Funding
Can a HubSpot project be grant-funded?
Often, yes. Many governments offer grants for digital transformation and productivity projects, and CRM implementations with a consultancy component are commonly eligible. The grant body decides eligibility and the level of support.
We help you scope the project, prepare the proposal documents and quotation, and set deliverables that match what the application describes.

FAQ
HubSpot questions we hear most
How long does a HubSpot implementation take?
Most projects take 10 to 16 weeks from kick-off to go-live. A single-hub setup with clean data can be faster. Projects with ERP integration and data migration sit at the longer end.
How much does a HubSpot implementation cost?
It depends on the hubs, number of users, integrations and data volume. We give a fixed-price quote after a discovery call, with HubSpot licences shown separately so you can see both costs.
Is Qualtura a HubSpot partner?
Yes. Qualtura is an official HubSpot partner with a certified team that implements, migrates, integrates and supports HubSpot for clients across industries.
Can you integrate HubSpot with our ERP or accounting system?
Yes. We use native HubSpot integrations where they exist, and the HubSpot API or middleware where they do not. Every integration is documented and tested with your own data.
Can you move us from Salesforce to HubSpot?
Yes. We migrate records, associations, activity history and files, and rebuild automation and reports in HubSpot. See our Salesforce to HubSpot migration service for details.
Do you provide support after go-live?
Yes. Every implementation includes a warranty period after go-live. After that you can move to a monthly support plan covering admin changes, new automation, reporting and training.

HubSpot CRM implementation
HubSpot CRM implementation
We design and configure HubSpot Sales Hub and Service Hub around your real sales and service process, connect it to your other systems, and train your team to use it from day one.
Scope
What a HubSpot CRM implementation includes
- Portal and users: teams, roles, permissions and single sign-on where your plan supports it.
- Data model: contacts, companies, deals, tickets and custom objects, with properties named the way your team talks.
- Pipelines: deal and ticket stages with entry and exit rules.
- Automation: workflows, sequences, lead rotation, task rules and SLA alerts.
- Quotes and products: product library, quote templates and approvals.
- Reporting: dashboards for management, sales and service.
- Integrations: ERP, accounting, website forms, email and calendar.
- Data migration from your current CRM or spreadsheets.
- Training and documentation for users and admins.

Is it time?
Signs your team needs a proper CRM
- Enquiries arrive by email, phone, WhatsApp and web forms, and some get missed.
- Pipeline numbers come from a spreadsheet that one person updates.
- Nobody can see a client's full history before a call.
- Renewals and follow-ups depend on someone remembering.
- Marketing cannot tell which campaigns produced revenue.
If three or more of these sound familiar, a structured HubSpot implementation usually pays back through fewer lost leads and less manual reporting.
FAQ
HubSpot CRM implementation questions
Do we need Sales Hub, Service Hub or both?
Sales Hub covers pipelines, deals, quotes and sales automation. Service Hub covers tickets, help desk, knowledge base and customer feedback. Teams that sell and then deliver an ongoing service usually need both. We confirm this in discovery before you buy licences.
Which HubSpot tier do we need: Starter, Professional or Enterprise?
Most growing B2B teams need Professional for workflows, custom reporting and sequences. Enterprise adds custom objects, advanced permissions and sandboxes, which larger or regulated organisations often need. We recommend the lowest tier that meets your requirements.
Who owns the HubSpot portal and data?
You do. The portal and licences are in your organisation's name, and we work in it as a partner user. All configuration and documentation is handed over at the end.
Can you work with our in-house IT team?
Yes. IT usually joins discovery, owns system access for integrations and takes part in testing. We share the technical design document so they can review every integration.
How many users can you set up?
There is no practical limit. HubSpot scales from a few users to large teams, and recent projects include an 18-user portal.

CRM migration
Salesforce to HubSpot migration
We move your CRM data, history and automation from Salesforce, Zoho, Microsoft Dynamics or spreadsheets into HubSpot, with test loads and reconciliation before cutover so nothing goes missing.
Scope
What we migrate
- Contacts, companies, deals, tickets, products and custom objects
- Associations between records
- Activity history: emails, calls, meetings, notes and tasks
- Files and attachments
- Record owners and teams
- Picklists and field values, mapped to HubSpot properties
Reports and automation are rebuilt in HubSpot, not copied. A migration is the right time to drop workflows nobody uses.
Method
How we migrate without losing data
- 01
Audit
Record counts, field usage, duplicates and data quality in the source system.
- 02
Map
A field-by-field mapping document from source objects to HubSpot objects and properties.
- 03
Cleanse
Deduplicate, standardise formats and archive records you no longer need.
- 04
Test load
A full rehearsal into a HubSpot sandbox or test portal, checked by your team.
- 05
Reconcile
Record counts and spot checks compared between systems and signed off.
- 06
Cutover
Final delta load on an agreed date, with the old system set to read-only.
Fit
When to move from Salesforce to HubSpot, and when not to
Teams usually move to HubSpot to reduce admin overhead, raise user adoption and run marketing, sales and service on one platform without separate tools.
Salesforce may still be the better choice if you rely on complex quoting (CPQ), heavy custom Apex code, industry clouds or very large data volumes with complex sharing rules. We implement both platforms and will give you a straight recommendation after an audit.
FAQ
Migration questions
How long does a Salesforce to HubSpot migration take?
The migration itself usually takes 2 to 6 weeks, depending on data volume, custom objects and how clean the data is. It normally runs inside a wider implementation of 10 to 16 weeks.
Will we lose our email and activity history?
No. Emails, calls, meetings, notes and tasks are migrated as engagements on the right records, with their original dates.
Can we run Salesforce and HubSpot in parallel?
Yes, for a short period. We usually set the old system to read-only at cutover so there is one source of truth, and keep it available for reference until contracts end.
What happens to our Salesforce custom objects?
They map to HubSpot custom objects (Enterprise tier) or to standard objects and properties where that is simpler. The mapping document shows every decision.
Do you also migrate from Zoho, Dynamics or Excel?
Yes. The same audit, map, cleanse, test and reconcile method applies to any source system, including spreadsheets.
Next step
Moving to HubSpot?
Start with a migration audit: record counts, data quality and a fixed-price plan.
HubSpot Breeze AI
HubSpot Breeze AI setup and adoption
Breeze is HubSpot's AI layer: an assistant inside the CRM, AI agents for tasks such as customer service, prospecting and content, and data enrichment. We set it up on clean data, with clear rules on what AI can and cannot do.
Scope
What we set up
- AI assistant for summarising records, drafting emails and answering questions about your CRM data.
- Customer service agent trained on your knowledge base, with hand-off rules to a person.
- Prospecting and content support for research, outreach drafts, blog and social content, always with human review.
- Data enrichment to fill company details and keep records current.
- Reporting on AI usage and outcomes, so you can see what is working.
Feature names and credit allowances change with HubSpot's plans. We confirm what your subscription includes during the readiness check.
Method
From pilot to everyday use
- 01
Readiness check
Review data quality, knowledge sources, permissions and your subscription.
- 02
Pick use cases
Choose two or three use cases with a clear measure, such as faster first response.
- 03
Configure
Set up the assistant and agents, knowledge sources, tone and hand-off rules.
- 04
Pilot
Run with a small group, review outputs weekly and tune.
- 05
Roll out
Train all users, publish usage rules and report on results.
Guardrails
Using AI in HubSpot responsibly
AI is only as good as the data and rules behind it. We keep a person in the loop for anything sent to customers until results are proven, limit agents to approved knowledge sources, and document what personal data the AI can access.
Under data protection laws such as PDPA and GDPR, your organisation remains responsible for how personal data is used. We help you configure HubSpot's settings and write internal usage rules, and we recommend your data protection officer reviews them.
FAQ
Breeze AI questions
Is Breeze AI included in our HubSpot subscription?
Some Breeze features are included in most paid plans, while others depend on your tier and HubSpot credits. Plans change often, so we confirm what your subscription covers before any setup.
Can a Breeze agent answer customers on our website?
Yes. A customer service agent can answer questions from your approved knowledge base on chat, and hand the conversation to a person when it cannot help or when rules require it.
Do we need clean CRM data before using AI?
Yes. Duplicates, empty fields and inconsistent properties lead to poor AI answers. A short data clean-up is usually the first step of our readiness check.
Is using Breeze AI compliant with data protection laws?
HubSpot provides data protection terms and admin controls, but compliance depends on how you configure and use the tools. We help set controls and usage rules, and recommend review by your data protection officer.
Can AI setup be part of a grant-supported project?
It can be included in the scope of a wider CRM or digital transformation project. Eligibility for any government grant is decided by the grant body.

Case study: HubSpot CRM
HubSpot CRM for a green building consultancy
Qualtura brought a green building consultancy's sales, enquiries and client service onto one HubSpot portal for 18 users, connected to its finance system and set up for Breeze AI.
The challenge
Growing demand, scattered client data
The consultancy serves building owners and developers across two websites and several service lines. Enquiries, quotes and client follow-ups had been handled across inboxes and separate files, so management had no single view of the pipeline and renewals depended on individual follow-up.
The team wanted one system for sales and client service that would also connect to its finance system, so quotes, invoices and client records stayed consistent.
What we did
Our approach
- Discovery and design. We ran workshops with management and sales, then wrote a HubSpot CRM technical design document, presented to stakeholders as a 29-slide design deck for sign-off.
- Portal configuration. We configured pipelines, properties, permissions, automation and dashboards for 18 users.
- Finance system integration. We built an API integration so client and billing records stay in sync between HubSpot and the finance system.
- AI in scope from day one. Breeze AI was part of the project scope from the start, not an add-on later.
- Grant-ready documentation. We scoped and documented the project to support a government grant application, with HubSpot and Breeze AI as the technology stack.
Timeline
Project timeline
- 01
Month 1: Kick-off
We kicked off with the client team, project director, project manager and solution architect, and signed off the design.
- 02
Month 1 to 2: Configuration
We configured pipelines, properties, permissions and automation.
- 03
Month 2 to 3: Integration
We integrated the finance system through the vendor's API.
- 04
Month 3 to 4: Testing
The team completed system and user acceptance testing with real records.
- 05
Month 4: Go-live
The portal went live, followed by a 3-month warranty period.
Outcome
What changed for the client
- One HubSpot portal for sales, enquiries and client service, used by 18 people.
- Client and billing records kept in sync with the finance system.
- A single pipeline view for management, replacing separate files.
- CRM data structured and ready for Breeze AI.
FAQ
About this project
How long does a HubSpot CRM project like this take?
About four months from kick-off to go-live, including finance system integration and testing, followed by a 3-month warranty.
Can HubSpot integrate with a local finance or accounting system?
Yes. Where there is no native app, we build an integration using HubSpot's API and the finance system's API, as we did in this project.
Was this project grant-supported?
We scoped and documented the project to support a government grant application. Eligibility and funding are decided by the grant body.

Case study: digital marketing
SEO and digital marketing for a green building consultancy
A 6-month retainer covering SEO, social media and paid ads across two websites, run alongside the client's HubSpot CRM rollout.
The brief
Two websites, one marketing programme
The consultancy runs two websites for different service lines. It wanted steady, measurable demand from both, managed by one partner rather than separate agencies for search, social and ads.
What we did
What the retainer covered
- SEO: a technical audit, keyword research, on-page fixes and a monthly content plan for both sites.
- Social media: a content calendar and regular posts that support the same topics.
- Paid ads: search and social campaigns aimed at qualified enquiries, with clear conversion tracking.
- Reporting: one monthly report across both websites and all channels.
Because the client was also moving to HubSpot CRM, we set up the programme so new enquiries could be tracked from first visit to client.
Outcome
What changed for the client
- One partner and one monthly report for search, social and ads across both websites.
- A content plan tied to the services the client wanted to grow.
- Campaign tracking linked to the CRM, so marketing could be measured by enquiries, not clicks.
FAQ
About digital marketing retainers
What does a digital marketing retainer with Qualtura include?
Usually SEO, social media and paid ads, with one monthly report. The mix is set by your goals and budget, and can change month to month.
Can one retainer cover more than one website?
Yes. In this case one programme covered two websites, with shared reporting and a content plan for each.
How long before SEO shows results?
Technical fixes can help within weeks, but content and ranking gains usually take three to six months. Paid ads can drive enquiries from the first month.
